Scanning - what's the story?
Electronic documents are easy to archive and locate and, they don't take up physical space like paper files
do. Once converted to an electronic file, your document becomes interactive and
useful: search for it from your desktop, find it almost instantly, edit it, combine
it with other electronic files, save it to disk or USB drive, email it, transfer
it via FTP or other transfer protocol, put it on a website.
Here are a few examples of how electronic document management is used:
By scanning several large binders of MSDS information sheets and converting them
to searchable PDF files, a manufacturing firm has created a fast, easy system
to find chemical and first aid information in emergencies. By entering in a product
name or chemical description into a workstation search bar, the correct information
sheet(s) can be found in the database and displayed on the workstation monitor
almost immediately.
Accounting firms are scanning client papers and combining tax forms, receipts,
and other paper-based documents with electronic spread sheets and other electronic
files. These combined files put all the information for each client into one place,
allowing instant access to all of the information without shuffling paper. These
files can be securely accessed via web or FTP transfer from off-site so that items
can be reviewed without copying moving physical documents.
Legal offices are using this technology to compile case files and legal briefs
including court papers, tickets, insurance documents, law-enforcement documents,
photographs, letters and correspondence and other information. These can be accessed
by attorneys and others via secure web connections and archived for instant retrieval
if needed in the future.
By eliminating the need to physically search for papers and information, electronic
files allow easy, fast access to the information you need. Once you have it, you
can edit it, combine it with other information and transfer it to other users
electronically. Access to your data can be secured and controlled, eliminating
the security risks posed by paper documents.
